New Association Management Company, and who to report issues to

We continue in our transition to new a association management company. Effective January 1, 2023, the Board entered into a contract with Town Management to provide services such as bill paying, dues collection, records management, contract management, application processing, and working with vendors and contractors, among other tasks. Our association manager is Kimberly Mills, and she is assisted by Danielle Cooke. They can be reached at Town Management, P.O. Box 5010, or 4801 Courthouse Street, Suite 202, Williamsburg, Virginia 23188. Their phone number is 757-565-6200. Although they are available to answer questions, please refer your questions to the Board of Directors or a committee chairperson first, as we get billed for the time Town spends on non-contracted services.

Committees that handle various things in our HOA include:

Architectural Review ("ARC")- applications to make improvements to your home, or complaints alleging a neighbor may have violated the ARC Guidelines

Communications - website and social media inquiries; also has a "Contact Us" feature so you can submit questions online and we will forward to the appropriate person

Clubhouse - reservations for use of the clubhouse (and pool)

Pool - rules relating to use of the pool, permitted activities, restrictions

Grounds - maintenance of the Common Areas, such as landscaping, mowing, weeds, etc.

 

If you want to report a street light out, you can (and should) contact Dominion Power directly. They will need information from the pole, such as address and pole number.

If you want to report an internet or cable problem, contact Cox directly.

Street repairs and signs down should be reported to VDOT.

A pond malfunction can be reported to Grounds, which will relay the issue to our pond management company

Trees that overhang or present threats to person or property should be reported to Grounds also.

If you are concerned about boats, trailers, campers, etc., that are stored at a home, you can reach out to the ARC.

 

These are just a few of the common questions that come up. Of course, you are always welcome at a Board meeting to bring up concerns in the Homeowner Comment period of the meeting. A schedule of meetings is available at the clubhouse, is posted on social media and on our entrance sign board, and via email notice.
